Job Description

Title: Program Manager

Organization: Nhyira Swiss-Africa Foundation for Vulnerable Children and Young Adults

Reports to: Executive Director/CEO, Management Advisor

Supervises: Tutors, Facilitators, Volunteers, and Interns

Job Summary:

We are seeking a highly motivated, experienced, and compassionate Program Manager to oversee the development and implementation of our programs dedicated to supporting vulnerable and underprivileged children and young adults in Ghana. The successful candidate will work closely with the Management Advisor and CEO to ensure effective program management and strategic leadership to achieve the organization’s goals: to equip and empower our beneficiaries with the necessary resources to thrive and excel.

Key Responsibilities:

Program Development and Management:

  • Lead the development, implementation, and evaluation of all programs and activities at the center.
  • Oversee academic support, library services, vocational training, recreational opportunities, agricultural and feeding programs, and STEM and TVET initiatives.
  • Assist in the development and implementation of organizational policies and procedures.
  • Ensure all programs align with the organization’s mission and strategic goals.
  • Advocate for the rights and needs of vulnerable children and young adults at local, regional, and national levels.
  • Oversee the allocation and utilization of resources, including materials, equipment, and facilities, to ensure efficiency.
  • Develop individualized plans for beneficiaries to help them achieve their personal and academic goals.
  • Stay informed about trends and best practices in child and youth development and incorporate them into program design and implementation.
  • Continuously seek opportunities to innovate and improve program offerings.
  • Develop and implement sustainability plans to ensure the long-term viability of programs.
  • Identify and pursue opportunities for sustainable funding and resource management.
  • Work closely with other departments and teams within the organization to ensure cohesive program delivery.

Community Engagement:

  • Organize and facilitate outreach activities and events to promote the center’s programs and services.
  • Conduct community gatherings to animate the organization’s mission, vision, goals, and activities.
  • Foster strong relationships with local communities, schools, businesses, and other stakeholders.
  • Engage with communities and beneficiaries to assess needs, gather feedback, and identify opportunities for program improvement.
  • Develop and implement marketing strategies to promote the center’s programs and attract new beneficiaries and donors.

Partnership Development:

  • Identify and establish partnerships with local and national organizations to enhance program delivery and resource availability.
  • Maintain ongoing communication with partners to ensure effective collaboration.
  • Establish and maintain a network of contacts within the non-profit sector and related fields.
  • Attend networking events and other professional gatherings on behalf of the organization.
  • Participate in forums to represent the Foundation, sharing the organization’s mission, activities, and best practices.

Capacity Building:

  • Develop and deliver training for facilitators, volunteers, and interns to enhance program knowledge.
  • Recruit, train, and manage volunteers and interns for programs and initiatives.
  • Foster a collaborative and supportive team environment for beneficiaries and facilitators.

Safety and Safeguarding:

  • Identify potential risks related to program activities and develop strategies to mitigate them.
  • Ensure safety protocols are followed and that staff and beneficiaries are aware of emergency procedures.
  • Provide direct support and guidance to beneficiaries, addressing their individual needs and concerns.

Monitoring & Evaluation and Communication:

  • Design data collection tools to track program outcomes and impact for reporting.
  • Prepare detailed reports on program activities, achievements, and lessons learned.
  • Utilize various communication channels, including social media, newsletters, and public engagements, to raise awareness about the organization’s work.

Requirements and Qualifications:

  • Bachelor’s degree in Social Work, Education, Psychology, Sociology, or a related field; Master’s degree preferred.
  • 3-5 years of experience in managing programs for vulnerable populations, preferably in Ghana.
  • Strong understanding of child protection, youth development, and safeguarding regulations in Ghana.
  • Excellent leadership, written, and spoken communication skills.
  • Proven experience in resource development and management.
  • Strong organizational and time management skills.
  • Familiarity with technology, including database management and social media platforms.

Work Schedule:

  • Monday to Friday: 10:00 am – 5:00 pm (occasional evenings).
  • Saturday: 10:00 am – 2:00 pm (occasional evenings or weekends may be necessary).

Nhyira SwissAfrica Foundation Center, Maledjor (Behind Valley View University and near Greenfield Estates).

By joining our team as the Center’s Administrator/Secretary, you will be part of a dynamic organization, aiming to make a meaningful impact in the lives of those who need it most.

Job Summary:

We are seeking a highly organized and detail-oriented Center Administrator/Secretary to handle all administrative tasks for our non-profit organization. The successful candidate will ensure the smooth and efficient operation of the Center’s administrative functions, supporting the Executive Director/CEO, Management Advisor, and Program Manager in achieving organizational goals.

Key Responsibilities:

Administrative Support and Office Management:

  • Provide administrative support to the Executive Director/CEO and Management Advisor.
  • Manage daily office activities, including handling correspondence, scheduling meetings, and maintaining office supplies.
  • Maintain accurate and organized records of program activities, financial transactions, and personnel files.
  • Manage and update databases, including tracking program data, donor information, and volunteer records.
  • Generate reports and analyze data to support program and administrative functions.
  • Assist with the preparation of reports for donors, funding agencies, and regulatory bodies.

Finance and Accounting:

  • Assist with financial tasks, including processing invoices, tracking expenses, and supporting budget management.
  • Coordinate with the treasurer for payment of salaries and benefits.
  • Handle petty cash and daily expenses.
  • Ensure all staff expenses are accounted for with supporting documents.
  • Ensure receipts from fuel and vehicle repairs are properly filed.

Human Resource Assistance and Beneficiaries:

  • Provide administrative support to staff and volunteers, including managing schedules and addressing inquiries.
  • Assist with onboarding and orientation for new staff and volunteers.
  • Prepare contracts for consultancies, facilitators, or other personnel engaged by the organization.
  • Organize schedules for volunteers and interns and track their hours.
  • Ensure staff and volunteers adhere to organizational policies.

Inventory and Compliance:

  • Manage inventory, assets, and supplies electronically and physically.
  • Develop a database system for inventory monitoring.
  • Ensure office supplies are adequately stocked and place orders as needed.
  • Prepare and file documentation for compliance and donor requirements.

Secretarial, Communication, and Event Coordination:

  • Manage phone and email communications, including packages and correspondence.
  • Respond to inquiries about the Foundation and the Center.
  • Assist with planning and coordination of events, including workshops and training sessions.
  • Prepare newsletters, updates, and promotional materials.

Support for Strategic Initiatives:

  • Assist with special projects as directed by the Executive Director/CEO and Program Manager.
  • Contribute to the development and implementation of new administrative processes.

Requirements and Qualifications:

  • Education: Bachelor’s degree or HND in Business Administration, Office Management, or related field.
  • Experience: 2-3 years of administrative experience, preferably in a non-profit or similar environment.
  • Skills: Proficiency in office software, strong organizational skills, and excellent communication skills.

Work Schedule:

  • Monday to Friday: 10:00 am – 5:00 pm (occasional evenings).
  • Saturday: 10:00 am – 2:00 pm.
